Manager Protocol (m/f/d)

In the implementing company of the Rhine-Ruhr 2025 FISU World University Games Full-time / 40 hours per week / limited with a reason in kind until late summer 2025.

The Protocol functional area (FA) is responsible for protocol issues relating to key aspects of the Games. The FA falls within the area of International Services. The Manager Protocol, manages the Protocol FA which includes coordination of venue protocol services, protocol requirements for ceremonies, VIP hospitality services, invitations, protocol relating to country participation, country flags as well as the FISU anthem and emblem.

The role reports directly to the Team Lead for International Services and is full time based in the OC office in Dusseldorf.

We would entrust you in particular with the fulfilment of these tasks: 

  • Develop a comprehensive calendar of protocol events and activities and manage the relevant tasks associated with these events and activities

  • Manage the Venue VIP hospitality areas including layout and fit out, staffing of and services offered in these VIP areas

  • Mange the invitation process for key client groups for the Games, including issuing of invitations and tracking of responses

  • Implement an efficient flag management process that includes the procurement, movement and care of all flags associated with the Games

  • Manage the process of providing relevant diplomas to relevant client groups regarding their attendance at the Games

  • Working with the stakeholder management FA, manage the establishment of a gift exchange process and guideline ensuring that this process is implemented effectively

  • Working with the stakeholder management and FISU Relations FAs, manage VIP lists between FISU Family and the OC

  • Working with the delegation services team, manage official delegation welcome ceremonies, welcoming individual delegations to the Games and the Rhine-Ruhr region

  • Work with the medal ceremonies FA to develop timing plans for VIP attendance at medal ceremonies.

  • Work with the ticketing FA to ensure relevant VIP seating plans are catered for across all venues

  • Liaise with service suppliers

  • Undertake relevant administrative duties including management of the Protocol FA project plan

  • Work in collaboration with other functional areas to deliver on tasks as they relate to protocol events and activities

  • Other tasks deemed relevant to the level of the position

Other information

You bring the following skills & knowledge with you: 

  • An academic degree in the area of event management, international relations or equivalent

  • Experience in working within the area of protocol and VIP stakeholder management in an event environment.

  • Have an understanding of the complexity of requirements needed across various levels of VIP status.

  • Have an understanding of how functional areas interact in a multi sport event environment to achieve common goals

  • Be culturally and globally aware

  • Be motivated to ensure that the language services provided to client groups is of an exceptional high standard

  • Have a high level of flexibility and be a self starter

  • Be a person who strives to find a solution to challenges

  • Excellent communication and mediation skills

  • Excellent knowledge of the English language
