To strengthen our team, we are looking for the next possible date for a
Manager Sport & Venue Tennis (w/m/d)
In the implementing company of the Rhine Ruhr 2025 FISU World University Games.
initially part-time/ 12 hours per week / limited until 31.12.2023 / afterwards 24 hours per week / limited until 31.12.2024 / afterwards full-time / 40 hours per week / fixed-term contract until late summer 2025.
The position is located within the OC in the Area Competition Management, within the Team Sport. As a Sport & Venue Manager you are responsible for the planning and organization of the sport of tennis before and during the event.
We would entrust you in particular with the fulfilment of these tasks:
Technical and organisational management of the sport and the operational fields of action described below.
Budget planning and control for the sport of tennis and the ETUF venue.
Sport area:
Coordination and preparation of time and schedule plans for the sport of tennis (competition schedule and various sport-specific time/schedule plans).
Coordination of the technical set-up, reconstruction and dismantling of the sports facilities
Coordination with partners relevant to the sport, in particular sports associations and municipalities
Planning the requirements and deployment of the sports & competition staff (e.g. volunteers, helpers, freelancers, etc.)
Support in the implementation of tendering and awarding processes, as well as the preparation of contracts in connection with the sport of tennis (material, equipment, etc.)
Technical management and preparation of meetings and workshops in connection with the sport, as well as documentation of the results.
Collaborate with all functional areas of the OC (e.g. Sports Presentation, Venue, Technology, Overlay & Logistics, Security, Food and Beverage, Transport, Accommodation, Doping Control & Medical Services, etc.) as well as with external service providers (e.g. sports equipment suppliers) to ensure the proper organisation of the sport.
Organisation and provision of all necessary services for athletes, technical officials and tennis delegations.
Preparation of and coordination on documents, regulations and materials with information on the conduct of the sport.
Venue area:
Coordination with venue operators
Coordination and implementation of venue operational plans
Planning of Venue Operational Staff (e.g. cleaning & waste, security, etc.)
Support in the implementation of tendering and award processes
Preparation of and responsibility for the Functional Area Operational Plans (FAOPs) for the designated thematic areas / venues
Cooperation with all functional areas of the LOC (e.g. the Sport, Technical, Overlay & Logistics, Security, etc. departments) as well as with external service providers (e.g. authorities, operators, event technology, etc.) to ensure proper integration of area & route planning, the Field of Play(s), etc.
Cooperation with departments such as security & transport to apply for all permits in time
Support in needs analysis, planning of appointments, meetings and presentations, creation of schedules and flow charts, budget and cost control as well as documentation of results
You bring the following skills & knowledge with you:
University degree
Relevant professional experience in the planning and successful execution of events, ideally in the field of sports and competitive tennis
Experience in working with sports associations and clubs
Knowledge of sports structures/organizations in Germany and on an international level
Experience in the involvement of volunteer structures
Strong project management skills
Well structured, conceptual and networked thinking, strong hands on mentality
Sensitivity to the needs of participants and partner organizations
Persuasiveness, assertiveness & organizational skills coupled with high emotional intelligence
High degree of flexibility and an engaging manner
Communication skills (also in German)
