Timeline

The ‘Adopt a Delegation’ project is divided into seven phases that accompany the schools step by step - from concept development to joint follow-up. Starting with the individual approach and registration, schools and delegations are networked with each other. Through creative projects, events and direct contact with international athletes, the participants experience an unforgettable time during the Rhine-Ruhr 2025 FISU World University Games. Finally, all experiences and adventures will flow into a joint evaluation phase.

Phase 1: Concept Development

The concept has been finalised and first individual contacts have been informed to implement lighthouse projects.

Phase 2: Registration

The application must be submitted via the online application form. All required information must be provided or uploaded in full. Incomplete applications cannot be considered. Please send any queries by email to education@rhineruhr2025.com

The application deadline is 15 January 2025. Late submissions can only be accepted in exceptional cases and by arrangement.

Phase 3: Matching

All delegations will be then matched with their schools. All participants will be informed about their matches by 24 January 2025 and will receive information about the next steps in the project.

Phase 4: Kick-Off

A digital ‘kick-off’ will take place in mid-February (the exact date will be communicated with the matching results in January). If the project concept has not yet been prepared, it will be finalised during this session. All contact persons will have the chance to discuss the implementation of their projects with the Organising Committee.

Phase 5: Implementation

The individual projects will be implemented in the schools. During this phase, individual check-up-meetings with the Organising Committee will take place.

Phase 6: Games-Time

During the FISU Games, the LARGE projects will be presented, and students will be cheering on their adopted delegations as visitors. Applications to present projects during the FISU Games must be submitted separately through the Call for Participation.

Phase 7: Evaluation

The Adopt a Delegation Programme will conclude with an evaluation of each project, a feedback exchange, and the monitoring of media coverage. The evaluation will take place by 31 August 2025 at the latest.
